Application FAQs

When will I know if my application has been accepted?

Within seven working days of receiving your application. If you have not heard from us by then, please email hub@uccf.org.uk.

Please note that your application does not mean you are guaranteed a place. We will select agencies on the basis of creating an exhibition space that covers a suitable range of areas of service and resources for students, Relay and their CU Staff Workers.

When do I confirm who will be representing my organisation?

Please confirm your representatives by application deadline of 28 June 2019, as we understand that your staff are busy and it is difficult to confirm who will be attending at the time of booking your exhibition spot. We will be sending Exhibitor Team Information forms before this date.

Any changes to staff personnel after 28 June 2019 will necessitate a £30 admin fee per change.

When do I need to pay?

As soon as your application has been accepted you will receive an invoice, by email, which will be payable in seven working days. Only once we have received your payment will your place be guaranteed. Please be directly in touch with Laura, should you have any queries involving payment, and she will pass them on to the UCCF Finance Team.

When is the early bird deadline?

The early bird deadline for applications is 26 April 2019. After this date you will not be able to get a 10% discount on the cost of exhibiting.

What will the Hub Opening Hours* be?

These are last year's opening times. Times for this year will be confirmed in the Forum programme but are likely to be similar.

What can I bring for my stand?

Your stand must be free standing (there are no wall structures to fix display materials to). Therefore, if you require a ‘backdrop’ to your exhibition space, you must bring your own display boards. You must also let the Hub Co-ordinator know if you desire a table and/or chairs in the exhibiting application form. In our experience, the most successful exhibitors are those who seek to be as interactive as possible and have fun, creative ways of drawing people in. We would encourage you to think about how you can best do that so that you can get the most out of the event. The use of sound and video equipment is encouraged. You will be advised on site regarding volume levels.

How involved can I be in the whole week’s events?

We would love our exhibitors to be as involved in the week’s programme as possible.

Advertising FAQs

I am a charity and don’t pay VAT on advertising, so can you reduce the cost?

The advertising prices that are listed are excluding VAT. UCCF reserves the right to charge VAT at the standard rate on advertising if a valid form is not received at the time of invoicing or if it is considered that advertising does not meet the criteria as authorised in HM customs and Excise Notice 701/58. If you have not filled one out for us recently, please request a form when you book your space.
