What to expect

Arrival

The set up team need to be on site on Saturday 29 August but you can then go on to be in a different team once set up duties are complete.

All teams need to be on site on Sunday 30 August, with check-in happening between 2-4pm so you can set up your camping area, followed by a site tour and time together as a volunteering team including dinner, introductions, and some organised fun to get to know each other.

On Monday 31 August, we'll start the day with breakfast together followed by important safety briefings altogether and for specific roles. Throughout the rest of the day there will be further training and deployment to a variety of jobs across the site to help get the site ready for students arrival. This is a huge help to the event team and will help you get orientated with the different aspects of the site.

Volunteers are needed until the last day of Forum - Saturday 5 September around 4pm. If you need to depart earlier you must let the volunteer team know before Forum starts so we can make sure set down jobs are allocated accordingly.

Day-to-day

Each day in each role will look a little different as the timetable and needs change throughout the week, but you can always expect the following…

  • Daily briefings with all volunteers where we start the day in scripture and prayer and get ready for the day ahead including rotas and notices.
  • Breaks throughout the day to either enjoy the content, have a nap, make use of the facilities in Volunteer Village, hang out with other volunteers or grab a coffee at the Forum cafe.
  • Some roles will have more structure (kitchen assistants will have set shifts for the week) whereas other roles may change throughout the week (stewards will be on different venues each day)

Check out the team descriptions here for more details on what to expect for each role.

Perks

We're really grateful for our volunteers giving up time to come and serve, here are some things they receive as a thank you…

  • Unlike other conferences or camps, it's free to volunteer!
  • Free resources
  • Welcome tote bag
  • 15% off Forum cafe
  • Free tea and coffee in the volunteer lounge and volunteer village
  • Our volunteer managers love a bit of organised fun throughout the week, previous years have included bucket hats and rubber ducks…

Facilities

We want to make sure our volunteers are well looked after and comfortable throughout the week. We provide the following to make sure this happens…

  • Volunteer village - a campsite specifically for volunteers away from the other campsites with it's own showers and toilets and plenty of space to pitch your tent. There's also the Village Hall - a space to relax, charge your phone, play games, and get yourself ready for the day with mirrors and clothes rails. We have a limited number of indoor spaces reserved for volunteers who have access needs.
  • Volunteer lounge - a designated space in the heart of the site for all volunteers to use throughout the week. Free refreshments, snacks and seating all provided, a great place to hang out during your breaks.
  • Meals provided - all meals are provided throughout your stay on site by our wonderful catering team.
  • Those arriving early for set up team receive indoor accommodation for the duration of their time at Forum.

More essential information and briefing documents will be sent to you ahead of arriving on site. If you have any questions on the above do use this form to contact us.
